A lot of people searching for web design agencies are not hiring one. They are looking at agency sites for reference, which is a reasonable thing to do because agencies build their own sites without a client to compromise with, and the result shows where the craft currently sits.

What a website project actually costs, and what drives the number

Web design quotes for the same brief routinely differ by a factor of five, which usually means the agencies have interpreted the brief differently rather than that four of them are overpriced.

The variables that move a quote most are page count and how many are genuinely unique templates rather than repeats, whether content is written by you or the agency, whether the CMS is off-the-shelf or custom, how many integrations are involved, and whether the scope includes migration of an existing site. That last one is the most commonly omitted and the most commonly expensive.

Three things to fix in the contract before signing

Revision rounds. How many are included at each stage and what happens after. Open-ended revision is where agency margin and client goodwill both disappear.

Content responsibility and deadline. Who writes it, when it is due, and what happens to the timeline if it slips. Content delay is the most common cause of overrun and it is almost always the client's delay.

Post-launch terms. What the warranty period covers, what counts as a bug versus a change, and what ongoing support costs. Discovering there is no support arrangement in week two after launch is a bad time to negotiate one.

One further point specific to redesigns: if you have an existing site with organic traffic, the migration is not a detail of the build, it is a risk to your revenue. Redirect mapping, URL structure decisions and pre-launch validation need to be scoped explicitly and owned by someone. 1. Choosing on portfolio alone

A portfolio shows what an agency produced for a client with a clear brief and adequate budget. It says nothing about how they handle a stakeholder who changes their mind in week six, content that arrives late, or a scope question with commercial consequences. Ask for a reference from a project that went badly rather than one that went well. The answer to that request is informative regardless of whether you get the reference.

2. Treating content as a parallel workstream

Design is assumed to proceed while content is written, and then the content arrives at a different length and structure than the templates expect. Either write the content first, or accept that the design will be built around placeholder assumptions and budget for the rework. Agencies that push hard on content timelines early are protecting your project, not being difficult.

3. Letting the agency pick the CMS by preference

Agencies build faster on platforms they know, which is reasonable, but you will operate the site for years after they leave. If your team cannot make routine changes without a developer, you have bought a dependency rather than an asset. Ask who can update what after handover, and have someone from your team attempt a realistic edit during the build rather than after it.

4. Scoping the redesign without scoping the migration

If the current site has organic traffic, the migration carries more commercial risk than any design decision in the project. It routinely gets treated as a technical task at the end rather than a workstream with a named owner. Scope it separately, start it during architecture rather than before launch, and require a redirect map you can review.

The most practical shift is that performance and accessibility have moved from technical hygiene to commercial requirements. Accessibility regulation has tightened in several jurisdictions, and performance is a ranking and conversion factor with well-established effects. Agencies still treating either as an optional add-on line are behind, and the exposure sits with you rather than with them.

The second shift concerns content structure. Sites are now read as often by machines as by people: assistants summarising what a company does, extracting pricing, or answering a question from your documentation. That rewards clear heading hierarchy, genuine semantic markup, structured data and content that states things plainly rather than burying them in design. It runs slightly against the instinct toward highly visual, low-text pages, and the agencies handling it well are treating readable structure as a design constraint rather than an SEO afterthought.
